How I helped a client cut their inbox from 847 emails to under 50 in one week.

No, they didn’t unsubscribe from everything.

No, they didn’t go on holiday.

They just stopped managing email the wrong way.

Here’s what I actually did:

1. I created a “only I can action this” rule.

Anything that needed a decision, a reply, or their signature? Stayed in the inbox.

Everything else? Filtered, labelled, and out of sight.

2. I set up three folders: Action, Waiting, Reference.

Sounds simple. It is simple. But most people don’t have it and their inbox becomes a mountain of “I’ll deal with that later.”

3. I unsubscribed in batches, not one by one.

Spent 20 minutes using their sent mail to identify the newsletters they’d never opened. Gone.

4. I turned off email notifications entirely.

Checking email on their schedule instead of reacting to every ping? Game-changing.

5. I wrote three email templates for their most common replies.

Enquiries. Follow-ups. Polite declines.

Copy. Tweak. Send. Done.

By Friday, they told me: “I actually feel in control for the first time in months.”

That’s the thing about inbox overwhelm, it’s rarely an email problem.

It’s a systems problem.

And systems are fixable.

If your inbox is quietly stressing you out every time you open it, then get in touch.
